Booth Purchase and Registration Process

To reserve a booth at HDES 2024, please follow these steps:

  1.  1. Purchase Your Booth: The first step is to purchase your booth. Select the “BOOTH ONLY” option in the purchase window below . Once your purchase is confirmed, you will receive a confirmation email, and you can proceed to register your booth.

  3. 2. Complete the Booth Registration Form: After purchasing your booth, complete the Booth Registration Form . This form will allow you to specify your equipment needs, such as tables, chairs, electrical outlets, and other setup preferences. If you require additional items like tables or chairs, this form must be submitted at least 5 days prior to the event.

Booth Rules & Regulations

Setup

Minimal setup is available on Thursday, October 24, 2024, from Noon to 5:00 p.m.

Important: Since this is an outdoor exhibition, exhibitors have the option to bring everything, set up partially, and leave items under the table, then complete setup the next morning.

However, please be aware that items will be exposed to the elements overnight. Campus police will be patrolling the area, but there will not be a dedicated security guard stationed at the site.

Tickets

Each exhibitor will receive two (2) complimentary passes to the HDES 2024 program and keynote speaker, valued at $150.

Limits of Liability

The exhibitor agrees to indemnify and hold harmless the High Desert Education Summit (HDES), its officers, employees, and agents, along with Victor Valley College, from any liability, claims, demands, suits, or damages arising from any injury, loss, or damage to persons or property while attending HDES 2024.

HDES will not be liable for any loss if the event is canceled, postponed, or relocated due to fire, flood, strikes, government regulations, acts of God, or other causes beyond its control.

Tear Down

Tear down must be completed between 1:00 p.m. – 3:00 p.m. on Friday, October 25, 2024. Exhibitors who begin tear down before 1:00 p.m. may lose their eligibility for a booth at future events.

Security

Campus police will be patrolling the area, but there will not be a dedicated security guard stationed at the site overnight.

Booth Specifications:

Booths consist of 8′ x 8′ spaces. Please make sure that your display material does not extend beyond this space. The maximum height for a display is 15 feet. Booths include a curtained backdrop and side panels. 

Six-foot tables with floor-length tablecloth, 2 chairs, and electrical outlets (limited) are provided at no additional cost. Exhibitors must supply their own power-surge devices. Carpeting in booths is NOT provided. 

Exhibit booths are reserved for a single business, business entity, or association. Booths are for exhibiting and promoting your business; sales of services or products are prohibited.

Note: If you do not need the table, chairs, or tablecloth, please indicate this on the booth form (see below).

Additional Note: If you do not have a table, tablecloth, or chairs, we can provide them to you. However, we need at least 5 days’ notice, and you must complete the booth form accordingly (see below for details)
